INSTRUCTIONS FOR EXECUTING A KIVAQ WORK WELLBEING QUESTIONNAIRE
The KivaQ questionnaire (Kiva in Finnish means nice, fun) is a short, fast and user-friendly and comprehensive questionnaire for measuring work wellbeing. Personnel willingly respond because of the easiness and the anonymity of the questionnaire.
HOW TO ORDER AND PAY
The KivaQ questionnaire is ordered from the web. Fill out the ordering form on the web page and you will get a confirmation mail to your e-mail. Payment is by credit card, Internet bank or invoice. After the payment has been received, the customer will receive a survey code and a password for analyzing the results. A KivaQ survey can also be ordered as a consulting assignment
The KivaQ questionnaire has 7 standard questions measuring work wellbeing. The advantage of a short questionnaire is that the results consist of only essential information. The customer can add 1-20 tailor-made additional questions to the questionnaire. The customer should carefully consider the need for additional questions because usually the longer the questionnaire the lower the response rate.
DIVIDING THE PERSONNEL INTO GROUPS
In a large organization there may be reasons to divide the personnel into groups according to e.g. the organizational structure. Remember that the anonymity must be preserved. If the respondents get the impression that individual responses can be tracked the response rate will usually decrease. Using gender and age as criteria may decrease the response rate. A minimum of 20 individuals in a respondent group is usually recommended.
If the customer wishes, it is possible to set passwords at group level for one respondent group. This makes it possible for a manager to analyse the results of the manager’s own department but not the results of other departments.

RESPONDING TO THE QUESTIONNAIRE
Responding to the KivaQ questionnaire is done primarily via the web from a computer, tablet or smartphone. Access to the questionnaire is done via the link that is sent to all respondents with the accompanying letter. It is also possible to respond by filling in the survey code in the KivaQ code box at the web address www.kivaq.fi. In the confirmation mail you will also find a version of the questionnaire for hard copies. If some employees respond on paper a suitable person from the organization should save these responses into the KivaQ program. It is crucial to grant the anonymity when using paper questionnaires.
STUDYING AND ANYLYSING THE RESULTS
The results of the KivaQ survey are registered in the web based analysis module in real-time. Login to the analysis module is done using the survey code and password. When using the KivaQ questionnaire for the first time it is useful to compare the results with the reference material in the KivaQ database. When repeating the questionnaire the most essential reference is the the company’s previous surveys.
The KivaQ analysis module enables fast and easy cross tabulations with all chosen alternatives. The cross tabulations can be saved for later use. The results can be studied in numbers or graphics. All raw data can be exported to common calculation programs (e.g. MS Excel). NB. Do not use multiple browser windows concurrently when analyzing.
PRESENTING THE RESULTS TO THE RESPONDENTS
An important part of the KivaQ questionnaire is presenting the results to the respondents and planning together with them the actions for developing their work wellbeing. This transparent procedure motivates the employees and also ensures a high response rate for future questionnaires. The customer can show different cross tabulations online, which guaranties the interest and engagement among the respondents.
